Electronic Preparation of Files and Figures for AAPG Book Projects
Software Preferences
Preparing files in one of the preferred applications keeps printing costs down, reduces the chance of error and omission of text, and increases the likelihood that graphics will be rendered correctly. For technical consistency, we prefer to receive files in the following applications:
Text
- Microsoft Word 98 or earlier for the Macintosh
- Microsoft Word 2000 or earlier for PC-compatible
Charts and other Line Art Graphics
- Adobe Illustrator for Macintosh 8 or earlier
(EPS with 8-bit Macintosh preview)
- Adobe Photoshop for Macintosh 5 or earlier
(EPS with 8-bit Macintosh preview or TIFF format in Macintosh byte order)
Preparation of Files
Text and Tables:
- Do not use graphics in word processing programs.
- Save text files in their original application. You may send ASCII files as backup; however, the ASCII format does not allow us to preserve text attributes (bolds, italics, underlines, superscripts, and subscripts).
- Do not create or embed tables in the text file. Save each table as a separate file.
- Save graphics files in the EPS format with a Macintosh preview (color preview for color files), if possible. Otherwise, use (in order of preference): 300-dpi TIFF (color files as CMYK TIFF), Macintosh PICT(2), or the native format. You should not use LZW compression or high-resolution JPEG compression. If a figure file exceeds 10 MB, it may be better to submit that figure as a high-quality original or print copy, which we would then handle with conventional film.
- The printing process makes most colors differ from those you view on a computer monitor. Items that rely on true color fidelity should be accompanied by a color original or color negative films and color proofs.
- If using Aldus FreeHand or Deneba Canvas, save files in native format and export them as EPS documents. Please send both file formats.
- Avoid saving color graphic files in the TeachText or SimpleText applications.
- You may use Aladdin Systems Stuffit or PKWares PKZIP to reduce the size of a file so that it will fit on a disk. Self-extracting archives are also acceptable.
Graphics in Canvas
Canvas files are not stable when converted to the format necessary for offset printing. This can necessitate time-consuming and expensive file manipulations. We strongly recommend that authors avoid drafting figures in Canvas (Illustrator is best). If you do use Canvas, create your figures in Canvas 6.0 or 7.0 (earlier versions are very unstable) or save your Canvas figures as Illustrator files (and watch out for changes!).
A Special Note about Imported Graphics
When graphics files are placed or imported into other graphic files (nested), it may be necessary that both files be available for printing and editing. Please include a copy of any graphics file that has been placed inside of another graphics file.
If the nested graphic is from Aldus FreeHand or Deneba Canvas, send a native format graphics file as well as the EPS version.
Media Requirements
Please label your diskette(s) with your name, contents, and the names of the applications and computers used. Our system can read Macintosh diskettes formatted at 400KB, 800KB, and 1.4MB. We can read 3.5-inch (DD, 720KB and HD, 1.44MB) and 5.25-inch (DD, 360KB and HD, 1.2MB) IBM-compatible diskettes. Do not submit extra-high density diskettes (EHD, 2.88MB). We can also read 44MB, 88MB, and 200MB SyQuest cartridges (Macintosh format), compact discs (including Kodak PhotoCD), Iomega ZIP and JAZ disks, Super disks, and most 5.25-inch (650MB or 1.3GB) optical disks.
