Preparing your Presentation for Transfer:
You may submit your presentation via the Internet prior to leaving for the event. An email will be sent from Freeman AV/Presentation Management that contains the link to the advance submission site along with your login and password.
If you change presenters prior to uploading your presentation, please contact Alicia Collins with the new presenter’s information so the submission site can be updated.
Your PowerPoint will be reviewed for video playback issues. Only video format changes will be made; no other content modifications or image quality changes will be made.
In the event that you wish to make changes to a presentation that you have already submitted, please change your master copy and then resubmit the files on the website.
Save your files to a Zip 100/250/750, CD-ROM, Compact Flash Card, Multi-Media Card or a USB Storage Device. If you create a CD-ROM, be sure to close or finalize your session. If this step is not accomplished, you cannot access the CD from any computer.
When building your presentation, all files (PowerPoint & external, i.e. movie files) associated with your presentation must reside in the same folder. Be sure you bring your movie files along with your PowerPoint presentation and that they are NOT embedded into the PowerPoint.
Label your media with the following information:
If you are speaking in more than one session, please organize and clearly label your presentations in separate folders. Do not put more than one presenter's files on the same media. Each presenter must have his or her own media.
The room, day and time scheduled for your presentation appears in the Technical Program Summary of the Technical Program and Registration Announcement. The program is available online and may be downloaded or viewed through the Itinerary Planner.
With a few exceptions, presentations are scheduled every 20 minutes. This time includes the introduction (which normally takes one minute), the presentation, and a short question and answer period following your talk. All sessions will be the same time frame, and it is essential that all sessions keep on schedule. Session chairs have the responsibility for seeing that each presentation begins on time. Speakers, please leave time for questions within your 20-minute block.
Please remember good slides are essential to a quality presentation. You only have a few minutes to get your ideas across to the audience. Emphasize only a few key points. Keep slides simple: one idea – one slide. The slides are a significant factor in judging for the best paper award.

AAPG Online Journal Search and Discovery
Authors are asked to consider having their work posted on AAPG's Search and Discovery. During the process of uploading your presentation to the Presentation Management Site, you can give permission online for the work to be posted on Search and Discovery. Final posting is subject to editorial approval.

Abstracts and Extended Abstracts
- Permission to publish your abstract is implied when you submit it.
- If you submitted an Extended Abstract, permission for AAPG to publish it is also implied, along with your acknowledgement that you have permission to use any material contained within it that has been previously published or is property of another individual or company and that you are transferring limited copyright* to AAPG in the same manner as that required for any other AAPG publication.
The majority of the oral sessions will be judged. The George C. Matson Award is given to the best AAPG oral presentation. EMD and DEG will also judge their sessions for the selection of best oral presentation.
Your oral presentation will be judged upon the following criteria. An overall impression will be recorded about each presentation and a recommendation as to its suitability for publication in the AAPG Bulletin.

Sign up to be a Judge
All presenters and convention attendees are welcome to participate in judging of papers and posters. You will not be allowed to judge your own paper but you can be involved in judging and evaluating one or more oral or poster sessions.
All qualified judges will have their name entered into a drawing to win an iPad once their ballots are returned to the Judges Room. The winner will be announced following the close of the convention.
