The Resolutions Committee is responsible for outreach to Affiliated Societies and the review of new societies that wish to affiliate with AAPG. There are currently three parts to this responsibility.

First, the Committee will review any societies who have approached AAPG to become Affiliated Societies and make a recommendation to the HoD at the April 10, 2011 annual meeting. Thus far, I am unaware of any societies.

Second, the Committee is responsible for contact with Affiliated ocieties to encourage them to send delegates to the annual HoD meeting. Attendance at the HoD meeting is a responsibility of the Affiliated Society so that their members are represented in the AAPG’s business. It is also a means to ascertain if an Affiliated Society is still active. At last year’s ACE in New Orleans, the HoD approved new Rules and Procedures including a procedure for disassociation. The first part of these procedures is to contact those Affiliated Societies who have not sent delegates to the HoD Annual Meetings for at least 2 years in a row.

Five Affiliated Societies did not respond to contacts made last year and did not send delegates in 2008 and 2009. They are:

As per the new procedures, these 5 Societies are receiving three personal letters from David Hawk, HoD Chair, as prepared by the Committee. These three letters are (1) to the Affiliated Society President to encourage participation, (2) to the appropriate Section President to request its involvement, and (3) to the members within the jurisdiction of that Society to advise them that they are not represented and encourage them to talk with their leadership.

Currently, the Committee is contacting 11 Affiliated Societies that did not send delegates in 2009 and 2010, including the same 5 Affiliated Societies as last year. We believe that the letters, calls, and emails will result in attendance for all 11 in Houston. However, if after six months the committee is unable to contact the societies, we will provide the list to Chair Hawk to send letters to the six new Societies.

Third, prior to the Annual Meeting on April 10, 2011, the Committee will contact the Affiliated Societies who have not yet provided AAPG staff with a list of delegates who will attend the meeting. The goal is to have as many delegates present as possible and to encourage the societies to find and send their delegates.
