Electronic Submittal Guidelines for Advertisements

To insure a quality product, the following guidelines for electronic submission of advertising are offered:
AAPG publications are produced on the Macintosh operating system to PostScript industry standards using QuarkXPress® (QXP) page layout program, Adobe Illustrator® drawing program, Adobe Photoshop® image manipulation program.
Advertising must be submitted electronically. Formats NOT accepted are Adobe Pagemaker, InDesign, Microsoft Publisher, Microsoft PowerPoint and Microsoft Word files.
Electronic Graphic File Formats
AAPG accepts PDF, EPS, or TIFF files for advertising.
PDF files:
PDF files must be high-resolution, press-ready files. PDFs need to be saved with the following specs:
- Acrobat 4.0 compatibility
- All fonts embedded
- All colors converted to CMYK
Quark and Acrobat PDF settings
All images used in the PDF must be in one of the following formats (modes) and resolution:
- CMYK image, 300 pixels per inch (ppi) @ 100%
- Grayscale image, 300ppi @ 100%
- Bitmap images, 600ppi @ 100%
AAPG does not assume responsibility for the quality or color of PDFs with RGB, Indexed or low-resolution images. The nature of the PDF format makes it almost impossible for AAPG to correct problems should they arise. It is the client ’s responsibility to provide a usable and correct file.
TIFF and EPS files:
TIFF and EPS files must meet the following requirements:
- CMYK image, at a minimum resolution of 300ppi @ 100%
- Grayscale image, 300ppi @ 100%
- Bitmap images, 600ppi @ 100%
- Extra channels beyond CMYK must be deleted
- TIFF files should be saved with LZW compression turned off.
- JPEG files will be accepted if they are 300ppi @ 100%, CMYK or grayscale images saved at maximum image quality.
Illustrator, InDesign, Freehand, Canvas or Corel files must be saved as EPS or TIFF export files. Placed photos must meet the same image and resolution standards as mentioned above. All type must be converted to “outlines” or “curves” to avoid font conflicts.
After creating an export file, a printout should be made to ensure that the file is printing correctly.
Page Layout Format
QuarkXpress (Macintosh only) files:
Native QXP files must be collected with all fonts and pictures. QXP PC files are not accepted because of incompatibilities. Those files should be exported as a PDF or EPS file.
All graphics and support files must meet the following requirements:
- Duotones, PMS or spot colors must be converted to either CMYK or grayscale
- CMYK images must be 300ppi at 100%
- Grayscale images must be 300ppi at 100%
- Bitmap images 600ppi at 100%
- TIFF files should be saved with LZW compression turned off.
Text hyphenation (H&J) and baseline grid.
The AAPG QXP “standard” H&J is no hyphenation and flush left, rag right text. If advertiser uses a different H&J, then a separate “Hyphenation and Justification” style must be set up and named something other than “standard” to avoid conflicts. AAPG uses a baseline grid of 10 points. Since only one grid can be active in a Quark document, advertisers are advised to disable the “Lock to Baseline Grid” function or accept the 10 point grid when submitting a QXP file.
Avoid using generic names in labeling files.
All supporting images should have file names that are unique to the advertiser’s company. EXAMPLE: geologo.eps; geoseismic.tif; geofigure1, etc. Please do not simply label your ad “AAPG ad” or “Figure 1.”
NOTE: Advertisers should take note that screen shots and art taken from the Internet (JPEG, PNG and GIF files) are RGB or Index mode and almost always low resolution (72ppi). They should be avoided whenever possible. If they must be used, convert them to CMYK and never enlarge them.
In all cases, a hard copy proof of your advertisement is required.
To ensure accurate color reproduction, a professional color proof is required (inkjet or laser color prints are not adequate and cannot be matched by the offset printers).
TIP: Print out black and white laser separations of color ads before submitting to AAPG. This will quickly show whether or not all your CMYK files are separating correctly.

File Transfer Protocol (FTP)
FTP is the preferred method of transferring files electronically. Using an FTP client is the most stable means for FTP transmission. Use the following client set up:

Drag and drop your files into the resulting window. You will not see any other files in this window.
Upon uploading files notify us via e-mail (bmer@aapg.org) how to identify them.
Submitting files as e-mail attachments is discouraged due to the size of the average document. Anything over 15 MB is rejected by AAPG ’s e-mail system. However, if that is the only means of transport available to you, be sure to send a confirming e-mail without attachments. Compressing the file before attaching it to an e-mail will help.
NOTE: In all cases, a hard copy proof of your advertisement is required.
