Electronic Submittal Guidelines for Advertisements

To insure a quality product, the following guidelines for electronic submission of advertising are offered:

AAPG publications are produced on the Macintosh operating system to PostScript industry standards using InDesign,® Adobe Illustrator® or Adobe Photoshop.®

Advertising must be submitted electronically. Formats NOT accepted are Adobe Pagemaker, QuarkXPress, Microsoft Publisher, Microsoft PowerPoint and Microsoft Word files.

Electronic Graphic File Formats

AAPG accepts CMYK PDFs, TIFFs, High Quality Jpeg files for advertising.

PDF files:

PDF files must be high-resolution, press-ready files. PDFs need to be saved with the following specs:

  • Acrobat 6.0 compatibility
  • All fonts embedded
  • All colors converted to CMYK
  • CMYK image, 300 pixels per inch (ppi) @ 100%
  • Grayscale image, 300ppi @ 100%

AAPG cannot accept PDFs with RGB or Indexed color images. The nature of the PDF format makes it almost impossible for AAPG to correct problems should they arise. It is the client ’s responsibility to provide a usable and correct file. Files containing RGB or Indexed color modes will be returned for correction and resubmittal.

TIff & EPS TIFF and EPS files:

TIFF and EPS files must meet the following requirements:

  • CMYK image, at a minimum resolution of 300ppi @ 100%
  • Grayscale image, 300ppi @ 100%
  • Extra channels beyond CMYK must be deleted
  • TIFF files should be saved with LZW compression turned on.
  • JPEG files will be accepted if they are 300 ppi @ 100%, CMYK or grayscale images saved at maximum image quality.
  • For EPS files, all type / fonts must be converted to “outlines” or “curves”to avoid font conflicts.

Illustrator and InDesign files must be exported as PDF, EPS or TIFF files. Placed photos must meet the same image and resolution standards as mentioned above. All type must be converted to “outlines” or “curves” to avoid font conflicts

After creating an export file, a printout should be made to ensure that the file is printing correctly.

Page Layout Files

AAPG no longer accepts page layout files for ad submission. Since all page layout programs offer PDF or EPS conversion, only those files will be accepted.

Before conversion all graphics and support files must meet the following requirements:

  • Duotones, PMS or spot colors must be converted to either CMYK or grayscale
  • CMYK images must be 300ppi at 100%
  • Grayscale images must be 300ppi at 100%
  • TIFF files should be saved with LZW compression turned on.

page layout points Avoid using generic names in labeling files.

Use file names that are unique to the advertiser’s company. EXAMPLE: companyname_adsize_date.pdf; companyname_adsize_date.tif.
Please do not simply label your ad “AAPG ad” or “Figure 1.”

NOTE: Advertisers should take note that screen shots and art taken from the Internet (JPEG, PNG and GIF files) are RGB or Index mode and almost always low resolution (72ppi). They should be avoided whenever possible. If they must be used, convert them to CMYK and never enlarge them.

Tip TIP: Print out black and white laser separations of color ads before submitting to AAPG. This will quickly show whether or not all your CMYK files are separating correctly.

Electronic submittal checklist includes:

  • PDF or
  • EPS or
  • TIFF and
  • Color or black and white proof of advertisement

Mode of submission:

  • Mail or package delivery:
    • CD-ROM
    • DVD
  • File compression:
    • Stuffit or PKZip self-extracting archives of either Windows or Macintosh operating systems.

Submitting Materials

An attachment to an email is the preferred method of receiving your advertising materials for all content under 20 MB. Compressing your file before attaching will help this process.

Should your file exceed 20 MB please contact AAPG for instructions .

NOTE: Because all computer displays have different color calibrations, we cannot guarantee the printed colors will match what is displayed on your screen.
